Codification
Asset codification is the process by which a product is named, classified and described so that it can be assigned a NATO Stock Number (NSN)
Codification is carried out in accordance with the NATO Codification System (NCS). The NCS is a unified and common system used by user countries for naming, classifying, identifying, and stock numbering items of supply. It is designed to maximize the efficiency of logistical support and facilitate material data management.
The basic document of the NATO Codification System is the Allied Codification Publication No. 1 (ACodP-1), also known as the NATO Codification Manual, which describes the basic principles, rules, and system procedures for asset codification.
How to codify
1st step
Once you have concluded a purchase contract that includes a codification contract clause, codification is required according to the rules of the NATO Codification System. Codification is carried out on the WEB-KAT internet portal. The link is available on the website of the Codification Department.
If you are not yet registered in the WEB-KAT system, you must register at first. Instructions for registration can be found on the website of the Codification Department.
2nd step
After registering in the system, register your purchase contract. Instructions for registering the contract can be found on the website of the Codification Department.
3rd step
After receiving the notification email about the assignment of the task, it is advisable to fill in the following for each item in WEB-KAT (instructions on the website of the Codification Department):
- logistic data (dimensions, weight)
- RN (Reference Number). This is the type/model designation of the product, often referred to by manufacturers as Part Number (P/N). It can also be listed as an order number, material number, product number, etc. The reference number must be unique, can consist of alphanumeric characters, contain spaces, dashes, periods, slashes.
- manufacturer (NCAGE Code of the manufacturer, not the supplier)
- attachments – a real photo of the item. Image documentation according to Methodological Guideline MET-X/23- Úř OSK SOJ/4 requires:
- graphical representation of an item without a watermark (copying and pasting a graphical representation of an item with a watermark is prohibited)
- maximum file size is 1 MB in JPG format (resolution up to 1024 x 768 pixels) or PDF in A4 size (resolution up to approx. 150 dpi)
- graphical representation from the point of view of use means a photo or illustration of the material/equipment corresponding to the specified item RN; production label, etc.
- attach technical documentation. According to the Methodological Guideline MET-X/23-Úř OSK SOJ/4, technical documentation means:
- manufacturer/supplier drawing documentation
- specifications (technical specifications of the item prepared by the manufacturer/supplier)
- excerpt from ISO, ČSN, DIN, etc. standards
- technical data sheet (listed tactical and technical data about the device and its functional description, possibly accompanied by a photo)
4th step
Assign items to the selected agency, instructions can be found on the Codification Department website.
